JOB DESCRIPTION - SUPPLY CHAIN SUPERVISOR

REPORTS TO: Financial Controller

JOB PROFILE

The Supply Chain Supervisor at Divine Resort is responsible for overseeing all aspects of inventory management, procurement, and supply chain operations. This role plays a critical part in ensuring the efficient flow of goods and materials to support resort operations while maintaining optimal inventory levels and adherence to budgetary constraints.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Supervise the storage and organization of inventory items in the resort’s storeroom, ensuring proper handling and storage practices are followed.
  • Maintain accurate records of inventory levels, stock movements, and storage locations to facilitate efficient retrieval and replenishment.
  • Generate purchasing lists every Wednesday based on consumption forecasts, stock levels, and upcoming demand.
  • Liaise with suppliers and vendors to obtain competitive quotes, negotiate terms, and place orders for required goods and materials.
  • Monitor inventory levels regularly to ensure that minimum stock levels are maintained for critical items.
  • Conduct periodic stock counts and reconcile physical inventory with system records to identify discrepancies and take corrective actions.
  • Analyze supply chain processes and identify opportunities for optimization, cost reduction, and efficiency improvement.
  • Collaborate with internal stakeholders, including the finance and operations teams, to streamline procurement processes and enhance supply chain performance.
  • Establish and maintain relationships with key suppliers and vendors, evaluating their performance and ensuring compliance with contractual agreements.
  • Address any issues or concerns related to product quality, delivery delays, or pricing discrepancies in a timely manner.
  • Monitor procurement expenditures and track spending against budgetary allocations, identifying variances and implementing corrective measures as needed.
  • Ensure adherence to budgetary constraints and cost-saving initiatives while meeting operational requirements.
  • Maintain accurate records of purchase orders, delivery receipts, and invoices, ensuring proper documentation and filing for audit purposes.
  • Prepare regular reports on inventory levels, procurement activities, and supply chain performance metrics for management review

EDUCATION, EXPERIENCE & OTHER SKILLS

  • Bachelor’s degree in Supply Chain Management, Business Administration, or related field preferred.
  • Minimum of 2 years of experience in inventory management, procurement, or supply chain operations, preferably in the hospitality or retail industry.
  • Strong knowledge of inventory control principles, supply chain best practices, and procurement processes.
  • Proficiency in inventory management software and Microsoft Office Suite (Excel, Word, Outlook).
  • Excellent organizational and analytical skills, with a keen attention to detail.
  • Effective communication and interpersonal abilities, with the ability to collaborate cross-functionally.
  • Problem-solving mindset and ability to adapt to changing priorities and business needs.
